Job Description:
What We're Looking For

Baylor University is seeking a Law Library Administrative Associate. The Law Library Administrative Associate will support the mission of the university by performing daily operations of the Law Library Administration office. This position reports to the Director of the Law Library.

An Associate's degree and two years of relevant work experience are required. A Bachelor's degree and three years of relevant work experience are preferred. A combination of education and work experience may be considered in lieu of the required degree and/or years of experience.

Additional qualifications include:
  • Proficiency with Microsoft Office tools, spreadsheets, and document management
  • Strong organizational, communication and detail-oriented skills
  • Ability to handle confidential information with discretion

Applicants must currently be authorized to work in the United States on a Full-Time basis.

What You Will Do
  • Oversee day-to-day operations and provide support to other team members, including the Director of the Law Library and the Law School Financial Administrator
  • Manage office operations, office supplies, and clerical tasks
  • Schedule and manage calendars
  • Serve as a liaison between librarians/faculty/staff and external suppliers
  • Proactively submit facility work orders as needs arise or upon request from team members
  • Research requests for library materials to determine suppliers and send order forms to Financial Administrator
  • Request missing materials from suppliers
  • Verify accuracy of invoices and code for payment processing
  • When appropriate, distribute notification of the availability of materials ordered
  • Work directly with Law Library users, librarians, and suppliers to resolve problematic title requests
  • Record paid invoices into the Alma library system
  • File and maintain documentation
  • Manage incoming and outgoing mail, including sorting and distributing the mail
  • Demonstrate ownership of work and take initiative
  • Supervise and train student assistants
  • Cross-train with other Law Library departments, including Circulation and Serials
  • Performing all other duties as assigned to support Baylor's mission
  • Ability to comply with University policies
  • Maintaining regular and punctual attendance
